Outline your business Note what you do, when you started, approximate turnover and the number of transactions each month. Estimates are fine for the first conversation. List upcoming deadlines Bring the dates shown in your official accounts and notices. Ask who will handle each filing, payment reminder and any overdue work. Gather income and expense records Prepare sales, invoices, receipts and bank records, plus your latest tax return if you have one. Note any other income you need the accountant to consider. Check your software and access List the tools you use and who owns each subscription. Ask about migration, software charges and secure access; do not share passwords. Get the scope and price in writing Ask for included work, exclusions, VAT, software, one-off setup or catch-up costs, payment terms and how extra work is approved. Check the firm before appointing it Verify claimed professional membership with the relevant body. Ask about your named contact, relevant experience and complaints process; arrange identity checks through the firm’s secure channel. Agree the start date and authorisations Confirm responsibilities in the engagement letter. Use the appropriate HMRC agent authorisation route when needed; appointing an accountant does not transfer your tax responsibilities. 03 / Start the conversation
